Privacy Policy

This policy explains what data X7 OS collects about you as an employee, contractor, or authorized partner of X7 MGMT PVT. LTD., why it is collected, and how it is handled. X7 OS is an internal business system; this policy applies to workplace data, not consumer data.

1. What we collect

• Account data: name, work email, role, designation, department, salary and compensation records, join date.
• Sign-in data: date and time of every login and logout, IP address, approximate IP-based location, precise device location (latitude, longitude, accuracy) captured at sign-in with your permission, device and browser information.
• Attendance data: check-in and check-out times, hours worked, leave records, synced with Zoho People.
• Work data: tasks, posts, content, captions, uploads, timestamps, KPI scores, and activity inside the system.
• Usage analytics: pages visited inside X7 OS, time spent per page and per session, and device type, collected to understand system usage and work patterns.
• Audit logs: significant actions (logins, check-ins, edits, deletions) with time, IP, and location context. Audit records are retained permanently and are never edited or deleted.
• Consent records: every acceptance of the Terms & Conditions and this Privacy Policy is recorded together with your IP address, device information, timestamp, and the exact document version accepted. Your IP address is collected specifically to tie your consent to you: it is the legal evidence that the acceptance came from your device and session, and cannot be attributed to anyone else.

2. Why we collect it

• Attendance, payroll, and HR administration
• Security: detecting unauthorized access and protecting confidential business data
• Performance tracking (KPIs, leaderboards, deadlines)
• Legal compliance and dispute resolution
• Proving consent: linking your acceptance of these terms to your IP, device, and session so that consent is verifiable and non-repudiable

3. Location and notifications

X7 OS requires location access at sign-in to verify that logins are legitimate and to protect company data. Location is captured at sign-in and during check-in and check-out; it is not tracked continuously in the background. Notification permission is required so the Company can reach you with operational alerts (deadlines, approvals, security notices).

4. Who can see your data

Access is role-based. Management (founders and authorized managers) can view attendance, KPIs, audit logs, and compensation records. Your colleagues cannot see your compensation or personal records. We do not sell or share your personal data with third parties, except processors used to run the system (hosting, database, Zoho People for HR) and where required by law.

5. Storage and security

Data is stored on secured cloud infrastructure with encrypted transport. Access requires authentication, and sensitive views are gated by role. Audit logging covers privileged actions.

6. Retention

Employment records are kept for the duration of your engagement and thereafter as required by Indian law. Audit and security logs are retained for as long as they are operationally and legally relevant.

You may request a copy of your personal data, or correction of inaccurate data, by writing to hello@x7mgmt.com. Requests are handled in accordance with the Digital Personal Data Protection Act, 2023 and applicable employment law.
